Solutions to Common Email Sending Problems
Email is the lifeblood of any business, and yet many people don’t know what to do when they run into sending trouble.
In this article you’ll learn about the common errors you’ll encounter when an email isn’t delivered, and what you can do about them.
1. If you’re having trouble with the email address:
The number one problem most people run into is getting the email address correct.
Sending an email to an incorrect address will result in one of two responses:
* If you got the “name” part incorrect (the part before the @), one of two things will happen:
o You will receive no response whatsoever. Many companies have their emails set so all emails to addresses that aren’t recognized go to a central “catch-all” email address. These addresses are rarely monitored, so it’s likely your email will not get correctly routed.
o You will receive a “user does not exist” response. This is sent by the company you’re trying to send to. Their email server has identified the email address you’re sending to as incorrect, and alerted you.
What can you do in these cases? Well, quite simply, you’ll need to make sure the email address you’re sending to is correct!
2. More advanced email sending errors:
Sometimes, even if you do get the email address absolutely correct, you can still run into issues! Here are a few of the most common errors people receive, and what you can do about them:
* Full Mailbox Error: When you send your email, you will receive a message that the person you’re trying to reach has exceeded their quota. This means that their mailbox is full, and they can’t accept any further email. This is a common issue in the corporate environment, where there is usually a maximum mailbox size. Unfortunately the only solution for this issue is giving the person you’re trying to reach a call and telling them they need to clean out their inbox!
* Your IP is on a Blacklist: If you get an error telling you that your IP has been blacklisted, this isn’t good news! It means that there have been spam complaints against the address (or domain name) that you send from, and consequently your emails will not get delivered. If you receive one of these, you should loop in with an IT professional. They can identify the source of the problem and present solutions.
With these helpful tips, you’ll be able to get your emails delivered more often, and be able to make quick fixes when they’re not!
